Elm Property Management  — Rental Standards & Application Requirements

Please review these rental standards carefully before applying.
All application fees are non-refundable, whether your application is approved or denied. Since applications are processed through a third-party screening company, there may be multiple applications for the same property.

Pet / Service Animal Approval

All applicants—even those without pets—must complete the pet/service animal screening process.

If you fail to complete this step, your application will not be approved.

Application Process

Elm Management Group takes pride in providing residents with quality rental homes.
Applications are processed through a separate tenant screening company, and each adult occupant (18+) must submit a complete application.

  • Application Fee: $85 per person, paid directly to the screening company.
  • Non-Refundable: All application fees are non-refundable.
  • Email Required: Each applicant must have a valid email address.
  • Lease Holding Period: We will only hold a unit for 2 weeks from the date of application approval; you must move in within that period.

 

Qualification Guidelines:


Rental History

  • Minimum 2 years of verifiable rental history from a non-relative landlord or property management company.
  • Negative rental history (collections, late fees, unpaid balances) or no rental history may result in denial.
  • Evictions must be at least 12 months old with no negative reports since.
  • No unpaid balances to any previous or current landlord.
  • Any false information will result in automatic denial.

Employment / Income

  • Must have a gross monthly income of at least 3 times the rent.
  • Income must be verifiable.
  • Acceptable proof includes:
  • Verified employment (VOE) from employer or “The Work Number” line.
  • For self-employed applicants: 2 years of tax returns or a CPA-prepared profit & loss statement.
  • Social Security award letter.
  • Housing Choice Voucher documentation.
  • Verified offer letter from an employer.
  • Bank statements are not accepted as proof of income.
  • False information will result in automatic denial.

Credit

  • Applications may be denied if more than 50% of credit accounts are negative or if no credit history exists.
  • Accounts older than 5 years (last reported date) will not be factored into the 50% ratio.
  • No collections to utility companies.
  • No minimum credit score requirement.
  • Bankruptcies must be discharged before consideration.

Criminal History

  • All criminal history must be disclosed. Failure to do so will result in automatic denial.
  • Criminal records older than 7 years are not considered.
  • Records less than 7 years old require explanation.

Other Requirements:

  • Rent Payments: Must be made online (2.99% fee for credit/debit cards, $3.00 fee for bank draft) or via PayNearMe locations ($3.99 fee).
  • Renter's Insurance: Required for all tenants. If a pet is approved, it must be listed on the policy.
  • Tenant Portal: Must be set up and text communication enabled.
  • Pets:
  • Any non-human occupant is considered a pet.
  • $45/month pet rent per approved pet.

  • Must include pet photos and vet records.
  • Unapproved pets after move-in = $1,000 fine and lease violation.
  • Service/Companion Animals: Must provide a letter from a licensed medical professional (verified by phone) and complete the pet screening process.

Lease Terms

  • All leases end May 31.
  • Rent due on the 25th of each month.
  • Security deposits may be up to 3 times the monthly rent if rental, income, or credit history is insufficient.

Resident Benefits Package (RBP)

The RBP is $55.95/month and includes:

  • HVAC air filter delivery every 60 days.
  • Renter's insurance (meets lease requirements).
  • Resident rewards program for on-time rent payments.
  • $1M identity protection for adult leaseholders.
  • Credit reporting for on-time rent payments.
  • 24/7 online maintenance reporting.
  • Home buying assistance.
  • Online account access and payment options.
  • Vetted vendor network for repairs.

 

Insurance Requirements:

  • Minimum $100,000 liability coverage required.
  • Policy must be from an A-rated carrier.
  • Elm Management Group must be listed as Additional Interest:
  • PO Box 660121, Dallas, TX 75266
  • If coverage lapses, a $25 violation fee applies and you will be enrolled in the RBP insurance plan.

Two Options:

  • Do nothing: Automatically enrolled in RBP coverage.
  • Provide your own policy: Submit proof via http://insurance.residentforms.com.

Processing takes approximately 24–72 hours once all documentation is received.
